Choosing an Item

An employee of an organisation can easily search for a desired item for getting access. Our search engine provides a better and faster search mechanism

Find who has access to an item

Go to Search Catalog and there you will be able to view the item that you want to request access to for yourself or for someone else.

note

In the search catalog IDHub will show a red key icon, if you have access to the item. Also, if you have already requested access to an item, then a grey key icon would be shown for the same.

Using Searches to find an item

For persons that need a quick search and they know the item that wish to have, do the following:

  • Go to Search Catalog page
  • Enter desired item on the search bar
  • Our search provides an exact match of the resource
  • Add the item to cart for request with the + button

You can also use the Tags which are defined by your administrators to get desired items.

Advanced Searches

IDHub provides a platform to search for any combination of items to find who has access to what from within our search parameters itself.

ADVANCED TIP 1

Find what accesses other users with my job title has!

To find your job title based accesses, do the following:

  • Go to Search Catalog page
  • Type the following in the search bar: " jobTitle: 'Sales Executive' "
  • Click on Search button and IDHub will provide you with people who are in the same Job Title as you
  • On click of each person, you can view what accesses that the user has and request the desired item for yourself by adding to cart via the + button

This feature is applicable based on search settings configured by your organisations system administrators. If access to view is restricted, you will need to contact the administrator to enable permission to view.


ADVANCED TIP 2

Find what accesses other users with my department has!

To find your department based accesses, do the following:

  • Go to Search Catalog page
  • Type the following in the search bar: " department: 'Sales' "
  • Click on Search button and IDHub will provide you with people who are in the same Job Title as you
  • On click of each person, you can view what accesses that the user has and request the desired item for yourself by adding to cart via the + button

Bookmarks

IDHub also has a bookmark feature for keeping catalog items for quick view and request in future

To use that, do the following:

  • Go to Search catalog
  • Select a catalog item you want to bookmark by searching via search bar
  • Click on the bookmark icon to add to the bookmark list
  • Refresh the catalog page and the default screen with list of bookmarks will appear

This is a quick and easy way to use items required for getting access and requesting later for others

Recently added

IDHub understands that newly added applications and permissions with the applications are most in demand when using an Identity management system.

To find whats new, we have out-of the box filters added in our Access Request module.

To use that, do the following:

  • Go to Search Catalog
  • Click on Search button to view all your organisations permission list
  • View the tags on the search results and find a category called 'Recently Added'
  • This identifies most relevant recently added applications that would be best suited for you to get access to

IDHub also provides administrators to smartly add tags to each of their permissions.

There are certain best practices that an administrator should follow for better tag searches by their employees

  • Tag list should not be more than 100. It becomes difficult to find the right tag if more than 100 tags are present
  • Use easy words like 'Google Project' ; 'Newbies Only' for respective employees to find their desired access list
  • Make sure that tag names are no extremely technical or longer than 20 characters
